FILE MANAGEMENT FOR FOLLOW-UP CASE WORKER

RED DEER YOUTH JUSTICE

  • Contact Panel Coordinator (rdyjc@hotmail.com) advising you have the file and contract expiry date.
  • Crown/Court Referral (90-day contract) – return the master file to Corrections as soon as practical. This file should contain the original contract and police report.
  • Keep the folder labeled “working file” which should contain the youth justice intake sheet. This folder is to manage your file and notes.
  • Take a photo of the contract or record details of contract on the intake sheet (sanctions and expiry date).
  • The removable tab containing youth’s personal information should be detached and kept in a separate location. Or take a photo and discard the hardcopy.
  • Police Referral (45-day contract) – There is only one file, that you can keep to manage your documents/activity.
    • The contract can stay in this folder.
    • The removable tab containing youth’s personal information should be detached and kept in a separate location. Or take a photo and discard the hardcopy.
  • Keep in regular contact with youth – to encourage/support them to complete sanctions with gentle reminders of their contractual obligations and accountability. Remind youth that he/she needs to appear at all upcoming court dates during contract and after.
  • Maintain Notes: Of all contact with youth, attitude, and any pertinent information related to the file. This will be helpful to the courts and police if youth is non-compliant.
  • Completion of Sanctions/Measures – Complete section D of contract; marking successful or unsuccessful, print name, phone number and sign document.
  • E-Mail and Return File to Corrections
  1. If the file is a court referral (reflected on front of the file jacket) send an e-mail to corrections (Tanya Reed Reed@gov.ab.ca & Manager, Sharla Heistad Sharla.Heistad@gov.ab.ca) with a copy to Panel Coordinator rdyjc@hotmail.com advising the status of the file (successful/unsuccessful) and date file will be returned.
  2. If he file is a police referral (reflected on front of the file jacket) – send an e-mail to Panel Coordinator rdyjc@hotmail.com advising the status of the file (successful/unsuccessful) and date file will be returned.
